Chem-Aqua Order Fulfillment Coordinator

 

Mission: Our core mission is to deliver high-quality, dependable, and cost-effective pretreatment and chemical feed systems that require minimal installation time and technical expertise from both our sales team and customers. Our primary focus and revenue source lie in the sale of water treatment chemicals.

 

Purpose of the Job: The purpose of the Order Fulfillment Coordiantor is to ensure every completed job moves smoothly from production to the customer. This role owns the entire post‑production workflow: verifying that finished jobs are correctly assigned to customer orders, packaging items securely, labeling shipments accurately, staging them for pickup, and confirming they are shipped on time.

 

Level of Authority: is authorized to independently verify, release, and move all jobs transitioning from Inventory to Manufacturing. This role holds direct authority over job readiness, staging accuracy, and workstation delivery to ensure production receives complete, correct, and on‑time builds. The Coordinator is empowered to:

 

  • Review pick tickets, component pulls, and documentation to confirm all required materials have been issued, staged, and accounted for before release.

 

  • Approve, hold, or return jobs based on material completeness, documentation accuracy, and alignment with the production schedule.

 

  • Validate that all staged components are correctly labeled, organized, and prepared for workstation delivery.

 

  • Transport validated jobs to the correct workstation, ensuring production teams receive materials exactly when needed to maintain flow and on‑time performance.

 

  • Communicate directly with Inventory Control, Production, Scheduling, and Purchasing to resolve missing parts, documentation gaps, or timing conflicts.

 

  • Identify and escalate any shortages, errors, or staging discrepancies that threaten build readiness or delivery commitments.

 

Work Environment:  Work is performed in a manufacturing environment with ambient temperatures varying between seasons from 40oF – 100oF. 

 

Work Hours: Normal weekday office hours are 8 AM to 5 PM Monday through Friday.  Due to the nature of our business night, weekend, and holiday hours may be required to meet our sales force and customer needs.  Compensatory time off or overtime pay will be offered when these job requirements occur.

 

Travel: Travel is not required.

 

Essential Job Functions:

 

  • Match finished jobs to the correct customer orders, verify serial numbers, confirm completeness, and resolve mismatches before staging. 

 

  • Generate and apply accurate shipping labels, ensure tracking numbers are correct, attach required documents, and validate carrier-specific requirements.

 

  • Place labeled packages in the correct staging zones, maintain order flow visibility, and prepare shipments for carrier pickup.

 

  • Schedule pickups, hand off shipments to carriers, update tracking information, and confirm orders are shipped on time.

 

Additional Job Functions

  • Complete other tasks set forth by Production Supervisor

 

Qualifications and Capabilities

 

TECHNICAL

 

  • Must have ability to read interpret pick tickets and BOMs

 

  • Must be proficient in transacting material in Oracle / SAP

 

  • Must be able to use Microsoft Outlook to communicate

 

·       Must have strong communication and organizational skills

 

 

 

 

PHYSICAL

  • Conditioned to sustain work in a manufacturing environment that ranges in temperature from 40oF – 100oF.

 

  • Capable of standing, walking, and moving for extended periods during inspections and testing activities.

 

  • Ability to lift and carry equipment and tools weighing up to 50 pounds.

 

  • Good manual dexterity for handling small parts, tools, and equipment used in inspections and testing procedures.

 

  • Good visual ability for close-up observations and use of analytical and control equipment

 

  • Good depth perception and ability to distinguish different colors.

 

  • Good hearing ability to detect verbal and audible signals from a moderate distance.

 

  • Good communication skills to work cooperatively with associates.
