We are seeking a detail-oriented and highly motivated Bid Specialist. You will manage the end-to-end tender process, creating competitive proposals to secure contracts. Key duties include crafting proposals, managing documentation, and tracking bid outcomes.

To succeed in this role, the ideal candidate must have: 

  • Exceptional attention to detail, strong organizational skills, and the ability to manage multiple priorities.
  • Proficiency in Microsoft 365 applications, including daily use of Word, Excel, and SharePoint.
  • Experience using Salesforce CRM.
  • Strong written and verbal communication skills, with the ability to collaborate effectively across departments
  • Prior experience working directly with internal and external customers

DAY-TO-DAY WORK EXAMPLES

For starters, though, here are some day-to-day examples of what you will be doing:

Bid & Proposal Management

  • Source, prepare, and coordinate the completion of bid documents for both new and renewal opportunities with government and commercial customers.
  • Develop customer proposals within the pool category and monitor each proposal through its full lifecycle — from submission to close, installation, and service activation.
  • Maintain visibility into proposal status across product categories and provide regular pipeline updates to management.

Contract & Documentation Support

  • Track customer contracts and collaborate with the Legal team to facilitate timely reviews, approvals, and renewals.

Reporting & Administrative Support

  • Create and distribute sales reports that support product and program initiatives.
  • Generate and share service-related reports, including tracking and follow-up on service completion data and documentation retrieval.
